Ultimate Staffin is seeking a highly organized Dispatcher / Service Coordinator to manage daily technician scheduling, support service operations, and ensure accurate billing. This role handles incoming service calls, coordinates materials, maintains customer and equipment records, and provides essential administrative support to both the Service and Construction departments.
Position Type: Full-Time
Location: On-site 7:30-4pm Monday- Friday
Direct Hire - 55K-60K with Full Benefits and prorated time off
Key Responsibilities
- Dispatch and schedule Service Technicians for daily service calls and construction startups.
- Receive and assign incoming service requests using the dispatch board.
- Prepare call slips and plan technician routes to maximize productivity.
- Manage service contract renewals and maintain accurate equipment and account records.
- Set up new customer accounts, including billing and labor rate details.
- Identify and escalate account concerns or potential bad debt.
- Provide small repair quotes or assist Sales with replacement proposals.
- Maintain paperless documentation and ensure accurate service data entry.
- Create job numbers for service calls and verify pricing periodically.
- Close call slips weekly and complete timely service billing.
- Verify technician timesheets and enter vendor payables.
- Order parts and materials for service calls and preventive maintenance work.
- Coordinate vendor communication and assist with monthly technician meetings.
Qualifications
- Experience in dispatching, scheduling, or service coordination preferred.
- Strong organizational skills and attention to detail.
- Ability to multitask and communicate clearly with technicians and customers.
- Proficiency with computer systems and willingness to learn job-specific software.
